Student Convention Summit 2026 — Please read these terms carefully before registering or attending the event.
1. Acceptance of Terms
By registering for, attending, or participating in the Student Convention Summit 2026 (SCS-2026), organized by ACSAP-Kenya, you agree to be bound by these Terms and Conditions. If you do not agree with any part of these terms, please do not register or attend the event.
These terms apply to all attendees, delegates, speakers, sponsors, exhibitors, volunteers, and any other participants of SCS-2026 scheduled to take place from March 28–31, 2026 at the Kenya Institute of Special Education, Nairobi, Kenya.
2. Data Collection & Use
We are committed to protecting your personal information. By registering for SCS-2026, you acknowledge and agree to the following:
- Purpose Limitation: All personal data collected during registration and throughout the event (including but not limited to your name, email address, phone number, institution, and county) will be used solely for event-related purposes. This includes event coordination, communication, badge printing, session management, and post-event feedback.
- No Third-Party Sharing: Your personal information will not be sold, rented, or shared with any third party for marketing or commercial purposes unrelated to SCS-2026.
- Data Retention: Personal data collected will be retained only for as long as necessary to fulfil event-related purposes and will be securely disposed of thereafter.
- Communication: We may use your contact details to send you important event updates, schedules, reminders, and post-event surveys related exclusively to SCS-2026.
- Payment Information: Payment data processed through M-Pesa or other payment channels is handled securely and is used only for transaction processing related to your registration.
- Your Rights: You have the right to request access to, correction of, or deletion of your personal data by contacting us at acsapkenya@gmail.com.
3. Photography & Media
By attending SCS-2026, you acknowledge and consent to the following regarding photography, videography, and media coverage:
- Event Documentation: Photographs, videos, and audio recordings will be taken throughout the event by official event photographers and media teams for the purpose of documenting the summit.
- Promotional Use: These images and recordings may be used to promote future editions of the Student Convention Summit, including but not limited to use on the official SCS website, social media channels (Facebook, Instagram, Twitter/X, LinkedIn), press releases, newsletters, and printed marketing materials.
- Event Reports: Photos and recordings may also appear in official event reports, highlight reels, and recap content shared with sponsors, partners, and stakeholders.
- No Commercial Sale: Your likeness captured during the event will not be sold or used for any purpose outside of SCS event promotion and documentation.
- Opt-Out: If you do not wish to be photographed or recorded, please notify the event organizers at the registration desk upon arrival. While we will make reasonable efforts to accommodate your request, please note that it may not be possible to exclude you from all wide-angle or group photographs taken at the venue.
4. Registration & Payment
- All attendees must complete the official registration process and pay any applicable fees to secure their participation.
- Registration is confirmed only upon receipt of full payment where applicable.
- Delegate packages, sponsorship tiers, and exhibitor packages are subject to availability and may change without prior notice.
- The organizers reserve the right to refuse or cancel any registration at their discretion.
- Each registration is personal and non-transferable unless explicitly approved by the organizing committee.
5. Code of Conduct
SCS-2026 is committed to providing a safe, inclusive, and respectful environment for all participants. By attending, you agree to:
- Treat all attendees, speakers, volunteers, and staff with courtesy and respect.
- Refrain from any form of harassment, discrimination, intimidation, or disruptive behaviour.
- Comply with all venue rules, safety guidelines, and instructions from event staff.
- Not engage in any illegal activities during the event.
- Report any concerns or incidents to event organizers immediately.
The organizers reserve the right to remove any participant who violates this code of conduct without refund.
6. Limitation of Liability
- SCS-2026 organizers and ACSAP-Kenya shall not be held liable for any loss, injury, damage, or theft of personal belongings during the event.
- Attendees participate in all event activities at their own risk.
- The organizers shall not be liable for any indirect, incidental, or consequential damages arising from participation in the event.
- In the event of circumstances beyond our control (force majeure), including but not limited to natural disasters, pandemics, government restrictions, or security threats, the organizers reserve the right to modify, postpone, or cancel the event.
7. Cancellation & Refunds
- Cancellation requests must be submitted in writing to acsapkenya@gmail.com at least 14 days before the event to be eligible for a refund.
- Cancellations made less than 14 days before the event are non-refundable.
- If the event is cancelled by the organizers, registered participants will receive a full refund of their registration fees.
- Refunds will be processed within 30 business days of the approved cancellation request.
- No-shows are not eligible for refunds.
8. Intellectual Property
- All content, materials, presentations, and branding associated with SCS-2026 are the intellectual property of ACSAP-Kenya and respective content creators.
- Attendees may not reproduce, distribute, or publish event content without prior written permission from the organizers.
- Personal use of event materials (such as notes and handouts) is permitted.
9. Changes to Terms
The organizers reserve the right to update or modify these Terms and Conditions at any time. Any changes will be communicated through the official SCS-2026 website and via email to registered participants. Continued participation in the event after such changes constitutes acceptance of the revised terms.
